How Keelridge handles personal information.

Who we are and what this page covers
Keelridge is operated by John Ranieri, trading as Keelridge Software. A company is being formed; this notice will name it once it is registered.
This notice covers the public website at keelridgesoftware.com, the fictional product demo at demo.keelridgesoftware.com, and, in summary, the private Keelridge portals we run for client agencies. Each agency's written agreement sets out the detailed terms for its portal.
Visiting the website
The website is delivered and protected through Cloudflare. Like other web infrastructure providers, Cloudflare processes network and request information needed to deliver pages, maintain security, and operate the service. Keelridge Software may view aggregate traffic, performance, cache, error, and security information available through that infrastructure.
Using the fictional product demo
The demo uses essential first-party cookies to keep the fictional role you select signed in. The session belongs to a synthetic demo account—not to you—and the demo does not ask for your name, email address, files, or agency data. Selecting a role sends that role choice to the demo service; the service and its infrastructure may process ordinary request, security, and error information needed to operate it. All displayed customers, employees, policies, and financial figures are fictional, and business changes are disabled.
The demo runs on Railway (application hosting, United States), Supabase (database, Germany) and Clerk (the demo's sign-in sessions). They process the request, security and error information needed to run it.
Minimal performance analytics
Cloudflare Web Analytics may measure page views, referring site, page path, country, device type, browser, operating system, and page-performance timing. Cloudflare describes this product as privacy-first and says its Web Analytics beacon does not use cookies, local storage, or fingerprinting to measure usage. Keelridge uses these measurements to understand which public pages are useful and whether they load reliably—not to build advertising profiles.
When a visitor opens a role-specific demo page from a guided tour, the website records a fixed, non-identifying action path before opening the demo. The path identifies the tour step and destination; it does not include the visitor’s name, email address, agency, demo-session identity, query string, or information displayed inside the demo.
Booking a demo
Booking links open Cal.com in a new tab. The scheduler is not embedded, and visiting a Keelridge page does not load Cal.com. Booking requires your name, email address, agency name and walkthrough focus. Cal.com processes those answers, your selected time and timezone, and any optional booking answers, such as your current AMS, agency size or how you heard about Keelridge. Keelridge receives the booking details to arrange and conduct the meeting. Cal.com connects to the founder’s Google Calendar to check availability and create the meeting. The resulting calendar event and Google Meet invitation may include booking information needed to schedule and conduct the meeting, and Google processes that information under its own terms. Whether an invitation appears automatically on your calendar depends on your calendar provider and settings.
The website measures only the fixed, non-identifying booking-link selection; it does not receive your booking-form answers or track booking completion. Read Cal.com's privacy policy. Do not enter customer records, policy details, credentials, or other confidential agency information into the booking form.
Contacting Keelridge by email
The website does not submit a lead form or store an inquiry. Its email links use your device's email setup to open a preaddressed draft, and the footer can copy the public Keelridge address. Your chosen email provider processes the message under its own terms. Keelridge Software receives the address, message, and attachments you send and uses them to respond to the conversation and maintain appropriate business records.
Do not send client personal information, policy documents, claims information, credentials, or other confidential agency data through an initial website inquiry.
Client agency portals
When an agency uses Keelridge, we process the records it chooses to provide, such as its book-of-business exports, accounting reports, commission statements and staff directory, on the agency's behalf and only to provide its portal. The agency decides what is shared and remains responsible for its own records; its management system and accounting system stay authoritative.
Each agency's records are kept separate from every other agency's. Staff see only what their role allows, and defined sensitive actions are recorded for review. Portals are hosted with infrastructure providers in the European Union or the United States, as stated in each agency's agreement.
Some portal features use a third-party AI provider, for example to read uploaded statements and reports or to answer staff questions from figures they are authorized to see. The provider's terms prohibit training on agency data, and we do not sell agency data or use it for any other customer. No health information is processed. When an agreement ends, we return the agency's data on request and then delete it.
If you work at a client agency, your agency controls your information in its portal; you can ask your agency or us about it.
How long we keep information
Booking details and email correspondence are kept while the conversation is active and then as business records only for as long as we need them. You can ask us to delete them sooner, unless the law requires us to keep them. Cloudflare keeps aggregate analytics under its own retention. The demo keeps no visitor records. Client agency data is kept for the life of the agency's agreement, as that agreement sets out.
Your choices and rights
You can ask what personal information we hold about you, and ask us to correct or delete it, or to stop using it, by emailing founder@keelridgesoftware.com. We reply within 30 days. Depending on where you live, you may have further rights under local law, including the right to complain to a data protection authority.
Children
The website, the demo and the portals are for businesses. They are not directed at anyone under 18, and we do not knowingly collect information from children.
Typefaces and third-party links
IBM Plex typefaces are served directly from the Keelridge website, so loading the site does not send a font request to Google or another type provider. Links to email services and external documentation leave the Keelridge website and are governed by those providers’ notices.
Questions
For any privacy question or request, email founder@keelridgesoftware.com. We may revise this notice when the website, the demo, the portals or the providers we use change; the date at the top shows the latest version.
